Opportunities App helps you to maintain the details of all your potential opportunities. You can create and customize opportunities using the sales stage. The Stage Management option helps you to decide when the Opportunity should enter the stage and move to the Next. In addition, you can create and customize activities like Event, Tasks, Follow Up, and Email on re-entry to the sales stages.
Note: The activities on re-entry to the sales stage will work at the time of re-entry to the same sales stage from the other stages. Click Here to know how to create a Sales Stage.
Steps to Create a Activities
- Login and access the Opportunities app from the universal menu.
- Click on the More(...) icon and select the Settings.
- On the Settings page, click on the Opportunities and select the Sales Stage.
- Select the sales stage and click on the More Details to edit the stage.
- In the View Sales Stage, you can view the Activities on re-entry to Sales Stage.
- Activities can be customized in 3 following ways:
- Recreate new activities and retain old activities
- Do not auto-create new activities
- Autocreate new activities and delete old activities
Recreate new activities and retain old activities
In Recreate new activities and retain old activities, the new activity will get created automatically whenever the opportunity sales stage is re-entering to the particular sales stage again. At the time, the old activities are also retained.
- For example: Consider the criteria, the new task has to be created when the sales stage of the opportunities is in the Present Offer stage. So, the new activity will get created whenever the opportunity is re-entering to the Present Offer stage. In the other case, if the opportunities sales stage is again re-entering to the same sales stage(Present Offer), at that time a new activity will get created again and you can also view the existing activities in the particular sales stage.
- Here, the criteria are set as when the Opportunities changed to the Present Offer sales stage, the New Task activity needs to be created immediately.
- You can also customize the create action for the activity while creating the task.
- You can view the task is created automatically, once the opportunities sales stage changed to the Present Offer stage.
- Now, if the opportunities sales stage is re-entering to the same sales stage (Present Offer), the new task will get created again and you can also view the existing tasks in the same sales stage.
Note: The existing task should be in the completed state, then only the new activity will get created again.
Do not auto-create new activities
By selecting the Do not auto-create new activities, no activities will be created when the opportunity is re-entering to the same sales stage again.
Autocreate new activities and delete old activities
In the Autocreate new activities and delete old activities, the new activity will get created when the opportunity is re-entering to the same sales stage at the same time the old activities will get deleted.
- Here, you can view the completed activities in the sales stage Present Offer.
- Now, if the opportunities sales stage is re-entering to the same sales stage(Present offer), the existing activities will get deleted and the new task activity will get created again.
