How to set up data level access in call logs?

Access Level for Call Log allows you to restrict the access privilege of all the Call Log to All or assigned Employees. With this feature, you can allow certain employees/users to access and view your call logs.

Now, there are two types of access levels:

  • Only show call logs assigned to signed in employee and their subordinates – The signed in an employee can view and edit the call logs assigned to them and their subordinates. Apart from the assigned employees, you can also access specific employees, by enabling the Add Exceptions toggle. Employees added in the Exceptions, can access the call logs, even though it is not assigned to them.
  • Show all call logs to everyone – Anyone can view and edit the call logs, irrespective of their assignment.

For instance: Consider you are the superuser, and you would want all the call logs you create to be private and should only be made visible to the respective assignee and also to the Customer Service Manager (Rose Jensen). In that case, you can set the Access Level for call logs, as explained below.

Steps to set Access Level for Call Log

Now there are two possible ways through which you can set the access level for call logs.

  • From Business Settings
  • Call log app Settings

From Business Settings:

  • Log in to your Apptivo account.
  • Click on the User menu and select Business Settings from the listed options.

  • Click on Security → Collaboration Security, where you can configure how Call Logs, should be displayed to each of your users/employees.

  • Here, you can set it to "Only show call logs assigned to signed in employee and their subordinates". Slide the toggle ON for Only View and click on the Select Employee “+” icon.

  • Select Rose Jensen from the Select an Employee popup. Changes will get auto-saved.

  • Now, the call logs created will be visible only to the assigned employee and also to Rose Jensen (irrespective of the assignment, since added to exception).

Call Log app Settings

  • Besides customizing the Access Level for Call Log from the Business Settings, you can also customize it from the Call Log dashboard.

Note: Access Level set in the Business Settings will get reflected in the respective Call Log settings too and vice versa.

  • To do so, click on Call Logs from the left pane on Apptivo Homepage. Click on the More(...) and select Settings.
