In Opportunities App settings, Actions allow providing access to the users who are deputed to certain privileged actions. The users are given access to the application as well as a privilege for a specific action. The Action privilege helps you to provide the ability to perform delete, create, and other actions, only for a few employees, as per the roles that you’ve assigned to them.
Steps to create a Privilege:
- Log in and access the Opportunities app from the universal menu bar.
- Click on More(...) icon and go to Settings→ Security → Actions.
- Scroll down and you can see the Delete toggle under the Object section.
- By disabling the Delete toggle, the delete option won’t show up on the opportunity page for all the employees.
- You can define who needs to view the delete button, through privilege.
- Click on the Privilege dropdown and select the Create Privilege to add privilege.
- For instance, let’s create a new privilege named "Delete Action Privilege".
- Click on the Create button.
- Choose the created Delete Action Privilege for “Delete”
Create and Assign Role to an Employee:
- After creating the privilege go to the Employees app to create a new role.
- Click on the More(...) icon and select Settings.
- On the Settings page, click on the Security dropdown and select the Roles.
- Click on the Create button.
- In the Create Role popup, specify a Role Name, Here the role name is “Sales Rep”.
- Then click on Add button to add the created or existing privilege for the created role.
- Choose the category as CRM and apps as Opportunities.
- Select “Delete Action Privilege”. Click on the Save button.
- Then, click on the Create button.
- Now, select an employee you would like to give access, to view the Delete button and click on More Details(...).
- Here we are adding “Sales Rep” to an employee “Rose Jensen”.
- Now only the employee, Rose Jensen is able to view the Delete button on the opportunity overview page as shown below.
- Other employees will not be able to delete the opportunities as shown below.
