How to add the contact phone number on email templates using the Ref app field?

Apptivo applications allow you to customize the functions and attributes as per your business requirements. In this flow, you can customize the email templates on the Tasks app with the Contacts business phone number by using the Ref app field. Let’s go through the steps.

Steps to Follow

  • Login and access the Tasks app from the Apptivo home page.
  • From the Tasks home page, click on the More(...) icon and select Settings.
  • On the Settings page, click on the Customize app and select Master Layout.
  • Now, drag and drop the Ref app field on the right-side panel to the layout.

  • Click on the added Ref app field, you will be redirected to the inspector tab on the right side.
  • You can customize the functionality of the Ref app field on the inspector tab. Scroll down the inspector tab to change the Reference type as Associated With, Reference Object as Contacts app, and Ref Field as Phone - Business.
  • Click on the Save button to update the changes.

  • Then, from the Settings page, click on the Email Templates on the left panel and select Email Templates.
  • From the Email Templates page, click on the Create button.

  • On the Create Email Template page, enter the name and subject of the email.
  • Add the content on the content area, you can add the Tasks app attributes by using the Insert Attributes.
  • Here, the created Ref App field is added. Click on the create button.

  • Once the template is created, go to the Tasks app and create a new task in association with any contact. Make sure that contacts have a phone number for reference.

  • After the task creation, go to the Emails tab from the tasks overview page.
  • Click on the Compose button to compose a new email. On the Compose pop-up, select the added template. You can view the associated contacts’ phone numbers as configured.
