Why do I get an alert message when I change the customer in the Estimates App?

With Estimates App, you can generate a quote for customers with their associated price lists created in the Pricing App. The Estimates App of Apptivo generates an alert message during the following instances:
- When you try to add a new customer in an existing estimate where the current customer already has a price list.
- When you create a new estimate from another estimate that already has a price list added for the customer.
You will receive an alert message even if the price list is the same or different for both the customers.
Instance 1: When the Price List is the same for two customers
Consider there are two customers, Amy and Amber. Both have the same price list associated with their profiles. The pricing list is standard pricing.
Create an estimate in the Estimates App and select Amy as the customer. Once Amy is selected, the associated price list is displayed in the Pricing field.
On scrolling down, you can add the items to generate a quote. When the items added in the price list is selected, the price will change automatically to the configured price in the pricing list. If needed, you can also change the quantity and price manually for any item added.
Now, consider you are creating another estimate from this estimate. Here, the customer is changed to Amber. Amber’s price list is the same as Amy’s.
However, you will receive an alert message stating “The applicable price list is different for this customer. Prices will be changed to reflect this”. This is because the item quantity and item price might not be the same as the values configured in the Price List.
- On clicking Yes, the new customer is added with the item list of the old customer.
- On clicking No, the customer value is not changed.
Apptivo allows you to customize the item quantity and price as per your requirement even if the item has a different price in the Price List while creating or editing an estimate. In order to let you know that the price or quantity of the items added might differ, you are receiving this alert message.
Instance 2: When the Price List is different for two customers
Consider there are two customers, Amy and Amber. Both have different price lists associated with their profiles.
Create an estimate in the Estimates App and select Amy as the customer. Once Amy is selected, the associated price list is displayed in the Pricing field.
On scrolling down, you can add the items to generate a quote. When the items added in the price list is selected, the price will change automatically to the configured price in the pricing list. If needed, you can also change the quantity and price manually for any item added.
Now, consider you are creating another estimate from this estimate. Here, the customer is changed to Amber. Amber’s price list is different from Amy’s.
However, you will receive an alert message stating “The applicable price list is different for this customer. Prices will be changed to reflect this”. This is because the price lists are different for the two customers. Hence, the item quantity and item price may not be the same.
- On clicking Yes, the new customer is added with the item list of the old customer.
- On clicking No, the customer value is not changed.
In order to let you know that the price lists of the two customers are different, you are receiving this alert message.
