How do I Prevent Emails being Sent to Spam Folder?

Sometimes in our day-to-day email usage, you will find an email that you send is delivered to the spam folder of your contact. In general, when we send an email from third party email services, it can possibly be delivered to the spam folder due to authorization problem. To fix this problem, you have to update the SPF record for the domain to authorize the mail server.

What is an SPF record?

SPF stands for Sender Policy Framework, it is a type of DNS (Domain Name Service) record. Usually an SPF record is used to find which mail servers are authorized to send email on behalf of your domain.

The main advantage of using an SPF record is to protect sending unauthorized emails. This will prevent spammers to send email using your email address.

Let us see three different scenarios, please pick the one which suits your case the best.

1. If you are a G Suite user, create the following TXT record.  This is the most common case.
   Record Type : TXT
   Host : @
   TXT Value :  v=spf1 include:spf.apptivo.com include:_spf.google.com ~all
   
   
2. If you are not a G Suite user, and you have never created an SPF record for your domain.  Create the TXT record below.
   Record Type : TXT
   Host : @
   TXT Value :  v=spf1 include:spf.apptivo.com ~all
   
   
3. If you already have an SPF record for your Domain, just include the below TXT value in the existing record. Do not worry about other two records.
   Record Type : TXT
   Host : @
   TXT Value :  v=spf1 include:spf.apptivo.com include:_spf.google.com include:example.com ~all

After updating your TXT record, validate the SPF record by using this link. Just type in your domain name and submit, and you should be able to see the TXT records found in your domain and its result.

The usage of updating an SPF record is to authorize the mail server on behalf of your domain. This will prevent emails being sent out to the spam folder. All your recipients will receive the emails in their Inbox. This will help you to send emails from Apptivo without worries.
